Hiring a training room in Reims: capacity, equipment, prices and organisation

Trainer, HR team or training provider: for in-person sessions, your room matters as much as your programme. Trainees who can’t see the screen properly, a connection that drops in the middle of a demo or a hard trip from the station, and the day gets off to a bad start. Here is what to check before you book a training room in Reims, how to prepare your session, and what you will find at Collab, rue de Talleyrand, right in the city centre.

The meeting room at Collab Coworking in Reims, set up for a training session

What to check before you book

In a listing, every room looks suitable. Six points make the difference on the day of the training.

Capacity in training layout

A room advertised for 12 in meeting layout does not necessarily fit 12 trainees in rows. Ask for the capacity in the layout you will use, with a table for each person to hold a computer and course materials.

The screen and teaching aids

Your slides must be readable from the back of the room. Check the screen size, wireless sharing from your computer and whether there is a whiteboard for diagrams and exercises.

The connection

E-learning platform, online software, a speaker joining by video call: a training session quickly eats up bandwidth when ten people connect at the same time. Ask for the actual speed, not just “Wi-Fi included”.

Opening hours

A session often starts before 9am or finishes late. Check the access hours, whether you can arrive early to set up your equipment, and who opens the door to the trainees.

Breaks and lunch

Coffee, water, somewhere to take a breather between two modules and an easy option for lunch: over a full day, these details show up in the end-of-session feedback.

Getting there for trainees

Trainees arriving by train, tram or car need to find the place easily. Check the distance from the station, the public transport stops, the nearby car parks and how accessible the premises are for your participants.

Collab's training room in practice

Collab’s meeting room switches to training layout: the tables are set in rows facing the screen and the whiteboard, for 10 trainees. The tables are movable, so we can also clear the floor for a hands-on workshop. A member of the team welcomes you when you arrive.

Collab is at 35 rue de Talleyrand, on the first floor, 5 minutes’ walk from Reims Centre station.

What is included in the hire:

  • A 65-inch 4K screen with wireless screen sharing.
  • A dry-erase whiteboard and a sound system.
  • 8 Gb/s fibre for online tools and video calls.
  • Coffee, tea and water throughout the session.
  • Notepads and pens at every seat in training layout.
  • Access to the fully equipped kitchen and the shared space for breaks.

Which space for your group?

The size of the group and the type of session decide the space. Three cases come up often.

Up to 10 trainees

The meeting room in training layout, tables in rows facing the screen. €149 excl. VAT per half day, €219 excl. VAT per day.

From 11 to 20 people

The studio next door switches to conference mode, for up to 20 people seated. €189 excl. VAT per half day, €289 excl. VAT per day.

Recurring sessions or breakout groups

A course spread over several sessions, or two spaces needed at the same time for breakout workshops? Tell us the number of trainees, the length and how often: we will put together a tailored offer.

What it costs, and what is included

The room costs €149 excl. VAT per half day (4 hours, morning or afternoon) and €219 excl. VAT per day, from 9am to 5.30pm. The price includes the screen, the whiteboard, fibre, coffee, tea and water.

How to pay:

  • Online, by card, with instant confirmation and an automatic invoice.
  • On quotation or pro forma invoice, for companies and training providers who need to approve a budget in advance.
  • The quote states the room’s capacity, equipment and address, useful for your joining instructions and your paperwork.

Preparing the session

A successful training session also depends on what happens before the trainees arrive. A few habits save you from losing the first few minutes.

  • Send joining instructions with the full address: 35 rue de Talleyrand, first floor, 51100 Reims, and how to get there.
  • Arrive 20 to 30 minutes early to test screen sharing and the connection for your tools.
  • Bring your attendance sheets and printed materials.
  • Build the breaks into the programme, morning and afternoon.
  • Let us know if a trainee has a particular accessibility need.

Cancelling or moving a session

Not enough sign-ups, a postponement: it happens. The terms are the same for every booking of the room.

  • More than 13 days before: free cancellation.
  • Between 13 and 7 days: 30% of the amount due.
  • Between 6 and 4 days: 80% due.
  • 3 days or less, or in case of no-show: 100% due.
  • Refunds within 30 days.

Getting here and parking

Collab is right in the city centre, which makes life easier for trainees coming from outside Reims.

  • On foot: 5 minutes from Reims Centre station.
  • By tram: lines T1 and T2, Langlet or Opéra stops.
  • By car: Erlon and Buirette car parks, 3 minutes’ walk away. See parking prices and passes.
