Hiring a meeting room in Reims: capacity, equipment, prices and pitfalls to avoid

A client meeting, a board meeting, a one-day training session, an interview to hold somewhere quiet: you need a meeting room in Reims, ideally in the city centre and with no unpleasant surprises on the day. Here is what to check before you book, and what you will find at Collab, rue de Talleyrand, 5 minutes’ walk from the station.

The meeting room at Collab Coworking in Reims: large table, 4K screen and whiteboard

What to check before you book

In a listing, every room looks the same. On site, six details make the difference between a smooth meeting and a wasted morning.

The real capacity

Ten people seated around a table is not the same as ten people in rows facing a screen. Ask about the layout planned for your format, and how many people really fit with a computer in front of each of them.

The screen and wireless sharing

A large screen and screen sharing with no cables or adapters save you fifteen minutes of fiddling at the start. Check the screen size and how to connect to it.

The connection

For a video call with a remote site, ask for the actual speed. Symmetrical fibre handles an HD video call all day long; a shared home router does not.

Quiet and light

A glass-walled room on a noisy open-plan space or a windowless room will tire a group out in two hours. Go for an enclosed room with natural light.

Breaks and lunch

Are coffee and water included or extra? Is there a kitchen, a space to stretch your legs between sessions, restaurants within walking distance for lunch?

Access and parking

In the city centre, the right question is not “is there a car park?” but “which one, how many minutes’ walk away, and what does a day cost?”. Also think about the station for participants coming from Paris.

Collab's meeting room in practice

An enclosed 15 m² room for 10 people, on the first floor at 35 rue de Talleyrand, right in the centre of Reims.

What is in the room:

  • A 65-inch 4K screen with wireless screen sharing: you arrive with your computer, you cast your screen, that’s it.
  • A large dry-erase whiteboard (our flipchart, only bigger).
  • A sound system for video calls and videos.
  • 8 Gb/s symmetrical fibre and Wi-Fi 7.
  • Movable tables: around the large table for a board meeting or a client meeting, or in rows facing the screen for a training session. We can even clear the floor for a workshop.
  • Coffee, tea and water included, the fully equipped kitchen and the large shared space for breaks.

One-off bookings are available Monday to Friday, from 9am to 5.30pm; a half day lasts 4 hours. You book online on the booking app: you choose the date, a half day or a full day, you pay by card and confirmation is instant. For bookings less than 48 hours ahead, call 03 65 67 51 17. A member of the team welcomes you and shows you the screen and wireless sharing.

Which format for which need?

Client meeting, committee, board

Up to 10 people around the large table, the screen for your slides, the whiteboard to move things forward. A half day is often enough; a full day leaves time for lunch on site.

Training or workshop

The tables are set in rows facing the screen for 10 participants. Beyond that, from 11 to 20 people, the studio next door switches to conference mode (projector, 180 x 120 screen, whiteboard, sound), on quotation. Training providers who come back regularly receive a tailored offer.

Team day or offsite

The studio in conference mode for the plenary session, the meeting room for workshops, the shared space partly reserved for your breaks and lunch, catering and activities on quotation.

What it costs, and what is included

€149 excl. VAT per half day, €219 excl. VAT per day. The price is the same whatever the number of participants, up to 10.

Included in the price: the 4K screen and wireless sharing, the whiteboard, the sound system, fibre, coffee, tea and water, access to the kitchen and the shared space, and a welcome from the team. The equipment is included at no extra cost.

Optional, on quotation: a lunch tray or catering for lunch, and hire of the studio in conference mode for groups of 11 to 20 people.

If you already work at Collab, the room is part of your contract: every private office includes meeting room hours each month depending on its floor area, from 4 hours for a 6 m² office to 24 hours for the 30 m² one, and the monthly desk can add 4 included hours for €30 excl. VAT more. Residents can use the room 24/7 with their included hours, and book extra slots by the hour, half day or day at preferential rates.

Cancelling or moving a booking

The terms are the same for the meeting room and the studio, and they are set out before you pay.

  • More than 13 days before the date: free cancellation.
  • Between 13 and 7 days: 30% of the amount due.
  • Between 6 and 4 days: 80%.
  • 3 days or less, or in case of no-show: 100%.

Refunds are made within 30 days. To move a date, write to us as soon as you know: the earlier, the simpler.
